Description

JOB DESCRIPTION:

Leads and provides project management support for a variety of projects which may involve financial administration, compiling and reviewing metrics, the upgrade of software systems, etc. Develops and manages project time lines. Works closely with project team/departments to identify and resolve concerns. Assumes responsibility for timely delivery of project deliverables as scheduled. Develops and maintains databases and reports. Designs presentations in support of department's needs. Tracks departmental budgets and forecasts future budget needs. May plan and coordinates special events. May maintain and update the departmental website. Performs related responsibilities as required.

 

KEY RESPONSIBILITIES:

  • Assist staff in overseeing online program content to ensure compliance with Accreditation Council for Continuing Medical Education (ACCME) guidelines for educational planning and documentation.
  • Aid staff and help coordinate the development of promotional materials, including brochures, handouts, newsletters, listserv, web-based collateral and other materials to ensure compliance with organizational policies and procedures and ACCME accreditation guidelines.
  • Assist faculty with virtual meeting presentation needs, including pre-meeting preparation and onsite/day of assistance.
  • Create and help implement online tools that promote the department and boost client engagement. (newsletters, surveys, listserv management, web content, social media presence).
  • Assist with coordinating promotional campaigns to solicit attendees for educational programs within pre-determined financial parameters.
  • Provide on-site management of conferences as needed. (Hybrid/Virtual activities)
  • Schedules the equipment and software use, maintains a usage and problem log.
  • Aids staff in selecting appropriate media for their project and instruct staff in the proper use of the equipment and/or application.
  • Outstanding multi-tasking and problem-solving skills to ensure multiple and complex projects are accomplished successfully and on time in a fast-paced environment. Ability to enter and verify information accurately and efficiently with attention to detail.
  • Other duties as assigned by the Associate Director.


MINIMUM QUALIFICATIONS:

  • A bachelor's degree and three years of project, financial and/or administrative management experience or an equivalent combination of education, training and experience.
  • Proficiency with Excel and Access.

 

PREFERRED QUALIFICATIONS:

  • Bachelor’s degree in educational media or instructional technology is preferred.
  • Ability to use hardware, software and to teach others how to operate them.
  • Training experience is preferred; trainer certification will be helpful but is not required.
  • Strong organizational and project management skills. Attention to detail.
  • Strong analytical skills.
  • Demonstrated ability to work effectively with a variety of individuals and professions, including physicians, administrators, and other health care professionals.
  • Strong written, verbal, and public speaking skills.
    • Self-motivated, strong sense of initiative, and ability to work independently.
  • Ability to maintain accurate and timely record-keeping.
  • Knowledge/proficiency in Cascade web development and Adobe Creative Suite or Canva.
  • Knowledge/proficiency of various video hosting and deployment platforms.
  • Proficiency in the use of popular social media platforms; ie: Facebook, Twitter, Instagram, YouTube, LinkedIn, etc.
  • Proficiency in Zoom cloud meeting management and recording.
  • Proficiency in email marketing platforms such as Constant Contact and/or Mail Chimp.
  • Ability to learn and utilize proprietary database (CMETracker) used by CME department.
  • High level of professionalism and courtesy.
    Ability to travel occasionally.

 

NOTE: This role will be granted the opportunity to work from home regularly but must be able to commute to Emory University on a flexible weekly schedule based upon business needs.  Schedule is based on agreed upon guidelines of department of work.  Emory reserves the right to change remote work status with notice to employee.
