Description

KEY RESPONSIBILITIES: The Coordinator, Recreation Operations & Scheduling manages the daily operations of the George W. Woodruff Physical Education Center (WPEC) and/or Student Academic & Activity Center (SAAC) and is responsible for planning and developing policies for facility usage and informal recreation and supporting athletic and recreation event administration. The specific duties include identifying, hiring, training, supervising, and evaluating staff; supervising and maintaining facilities, maintaining detailed records, and preparing participation reports; assisting with budget preparation; supporting special events administration. This is a full-time, twelve-month, exempt professional staff position within the Department of Athletics & Recreation.

Personnel Management:

  • Reporting to the Assistant Director of Athletic & Recreation & Operations, assists in leading facility operations for the Woodruff Physical Education Center (WPEC) and/or Student Academic & Activity Center (SAAC).
  • Selects and develops two Graduate Assistants to assist with overall student staff supervision.
  • Recruits, hires, trains, supervises, evaluates, and develops student facility operations staff.
  • Conducts semester training, kick-off meetings, and bi-weekly staff training meetings with all student staff employees.
  • Presents an atmosphere of out-of-classroom learning for student employees and participants.
  • Focuses on the development of student leadership, customer service, decision making, and communication.
  • Maintains files documenting training, timekeeping, and certifications as required.
  • Maintains student staff uniforms and name tags.
  • Manages timekeeping and payroll for operations student staff.
  • Assists in overseeing student staff budget for all operations student staff in Athletics and Recreation.

Events & Scheduling:

  • Oversees non-varsity athletic facility reservations and rentals including, but not limited to, events for Recreation & Wellness, chartered student organizations, university departments, external organizations, and summer camps and conferences.
  • Structures a cohesive and organized Events and Facility Scheduling program, including policy development, prioritization of groups and space, and overall management of space.
  • Provides on-site coordination of special events and recreational programs: arranges services, coordinates set-up and takedown, provides event supervision, technical support, and evaluation, operates equipment, and works with event sponsors in planning and conducting events.
  • Develops, interprets, and applies policies and procedures as they relate to the use of facilities as well as consults with and responds to patron questions and concerns.
  • Responsible for enforcement of department and University policies related to risk management, safety, and purchasing.
  • Assists with Camp & Conference Management: assists with management of all external summer camp activities owned and operated by head and assistant coaches.
  • Assists with logistics for all external facility rentals.
  • Serves as a member of the Games Management Team for Special Olympics of Georgia State Summer Games.
  • Serves on campus-wide committees as necessary. Provides logistical support to Emory-owned Sports Fitness Camp.
  • Works with campus partners for large-scale, campus-wide events in WPEC and/or SAAC spaces, including Commencement, Orientation, Career Center fairs, Faculty Staff Assistance Programs and Admissions Office events.

Facilities:

  • Oversees daily facility operations: monitors facility and equipment usage, develops policies for facility and informal recreation use, conducts inspections, and risk management assessments, develops and implement systems, and oversees maintenance and repair needs.
  • Identifies and communicates facility issues to the Associate Director of Athletic Facilities.
  • Organizes and manages lost and found systems.

Other:

  • Attends departmental and divisional meetings as necessary.
  • Serves in an on-call function to support operations at the facilities.
  • Serves as a department ranking staff member on duty for the operations and facilities, which includes, but is not limited to, serving as a first responder for emergency situations and providing emergency care, providing customer service, resolving conflicts, and making decision and judgments regarding program and facility usage.
  • This position is responsible for the integrity of Emory's intercollegiate athletics program and for the reputation of Emory University.
  • This position is responsible for ensuring that their involvement with Athletic & Recreation Department activities maintains the integrity of the University's reputation and does not negatively impact the relationship between the University and its faculty, staff, students, and alumni.
  • Additionally, this position must comply with university policies and procedures, NCAA, and conference rules and regulations.
  • Performs other related duties as required.

MINIMUM QUALIFICATIONS:

  • A bachelor's degree in sports management, physical education, recreation/leisure administration, higher education, or related field, and one year of related experience in recreation operations, OR an equivalent combination of education, training, and experience. A master's degree is preferred.
  • Graduate assistantship or internship experience considered if performed with primary emphasis in facility operations. Prefer supervisory experience. CPR, First Aid and AED certifications required (must be obtained within 60 days of hire).

NOTE: Position tasks are required to be performed in-person at an Emory University location; working remote is not an option. Emory reserves the right to change this status with notice to employee.
