The Division of Advancement and Alumni Engagement utilizes resources, technology, and business for the purpose of constituent engagement, donor research and solicitation, and stewardship throughout Emory University and Health Systems. We are currently seeking an Assistant Director of Advancement and Alumni Services.

 

The Prospect Research team supports all Advancement and Alumni Engagement departments by identifying major funders for university initiatives, providing research and preparing leadership briefings. This position will report to the Senior Director of Prospect Research.

 

KEY RESPONSIBILITIES:

  • Coordinates operational support for an advancement and alumni engagement program in a school or unit.
  • Develops plans and objectives to ensure success of the program while working with departments within the school or unit as well as central service units to build mutually beneficial relationships, improve communication and collaborative teamwork, and increase campus understanding of advancement and alumni engagement processes.
  • Writes/creates briefings, reports, letters, and other materials for the team.
  • Manages multiple projects supporting the strategic goals of the school/unit.
  • Provides guidance with collecting and routing data for updates in CRM system, and ensuring gifts and records are processed appropriately.
  • May provide administrative and event support.
  • May administer budgets.
  • Performs other related duties as required.

ADDITIONAL JOB DETAILS: In addition to the duties outlined above, the Assistant Director may be required to:

  • Prepare and deliver concise, informative briefing reports for the University President, Deans, Provosts and other Emory leaders, summarizing key data, insights, and updates.
  • Collect and analyze relevant data from multiple sources (both internal and external) and gather information to compile a comprehensive briefing. 
  • Craft clear, concise briefing report to effectively communicate information to senior leadership, adapting the briefing to the specific needs and interests of the executive audience. 
  • Work with various departments across campus to obtain information for briefings, often in fast-paced and time sensitive situations. 
  • Update the CRM with the most accurate information.
  • Represent the department or serve as primary contact working with other departments across the division/University.

MINIMUM QUALIFICATIONS:

  • A bachelors and two years of experience in an office setting, OR an equivalent combination of education, training, and experience.

PREFERRED QUALIFICATIONS: 

  • Strong organizational, written, and verbal communication skills, as well as proof-reading and editing skills.
  • The ability to manage multiple projects simultaneously, organize briefing preparation timelines and deliverables, and convey complex information clearly and concisely.
  • Strong interpersonal and problem-solving skills with the ability to navigate a complex work environment.   
  • Commitment to delivering excellent customer service, the ability to work collaboratively, and comfort working with ambiguity.
  • Analytical skills and strategic thinking - understanding the broader organizational context and aligning briefings with strategic objectives. 
  • Presentation skills - confidence in delivering impactful presentations to senior leadership. 
  • Experience with various technologies including advanced knowledge and experience with Microsoft Office Suite, mass email applications, database and project management software, and CRM systems.
  • Prior experience in advancement, fundraising, alumni engagement, non-profit, or a university setting.
  • Flexibility to accommodate changing priorities and deadlines.
  • Possess a high level of professionalism and commitment to confidentiality with sound judgment and discretion.

NOTE: This role will be granted the opportunity to work from home regularly but must be able to commute to Emory University on a flexible weekly schedule based upon business needs Schedule is based on agreed upon guidelines of department. This role requires residency in the state of GA. Emory reserves the right to change remote work status with notice to employee.
