Description

KEY RESPONSIBILITIES:

  • Support two programs, including developing tools, resources, and timelines as needed to ensure student and program success.
  • Supports program students and faculty as the main point of contact for information and resources, and works closely with program leadership to achieve program goals.
  • Advise programs and GDBBS leadership on issues and matters of significance related to current program success and future initiatives regarding students and faculty.
  • Establish schedules, oversee arrangements, order meals, and provide logistics support for events, conferences, meetings, seminars, and recruiting.
  • Gather and disseminate information regarding new or revised policies and procedures, respond to inquiries regarding graduate school policies and procedures and make referrals when appropriate.
  • Support student progress by tracking milestone events such as rotations, qualifying exams, and committee meetings through a database.
  • Track applicant status during recruitment.
  • Serve as liaison between programs and the registrar’s office to ensure courses are properly listed.
  • Coordinate classroom locations with instructors. Ensure all students are registered.
  • Process general reimbursements for students or faculty related to program events and professional development.
  • Manages program communications, which may include updating and maintaining program listservs, and reviewing program websites to maintain accuracy.
  • Monitor program budgets and coordinate expenditures with program leadership.
  • May serve as a brand ambassador by representing the graduate school or programs at recruitment events, conferences, meetings, seminars, and other events.
  • May create surveys, including course evaluations, on behalf of course instructors and program leadership.
  • May support social media accounts by uploading student and faculty accomplishments and dissertation announcements.
  • May manage a program seminar series, which could include making airline reservations for external speakers and organizing schedules.
  • May provide support for other program initiatives that could include T32 grants or associated Master’s programs.
  • May be required to present at internal meetings.
  • Leads and supports program(s), including developing tools, resources and timelines as needed to ensure program success.
  • Develops and conducts surveys and assessments to identify program needs and gaps, and makes recommendations to management for improvements.
  • Advises management on issues and matters of significance related to current program success and future initiatives.
  • Establishes schedules, oversees arrangements, and provides logistics support for events, conferences, meetings, seminars, and other venues as requested.
  • Gathers and coordinates dissemination of information regarding new or revised policies and procedures, responds to inquiries regarding departmental policies and procedures and makes referrals when appropriate.
  • May manage projects related to student progress, enrollment, registration, and recruitment.
  • May manage various databases and budgets.
  • May serve as liaison and facilitator among program faculty, students, and administration to resolve registration, admissions, and other program-related concerns.
  • May represent the program(s) at recruitment events, conferences, meetings, seminars, and other events.
  • May be required to present and speak on behalf of the program(s).
  • Performs other related duties as required.

ADDITIONAL DETAILS:

  • The position requires strong customer service skills to support and interact with students and faculty.
  • The position requires a high level of accuracy, attention to detail, initiative, and the ability to multi-task, as well as the ability to pivot and find workarounds when challenges occur.
  • The person in this position will independently manage projects and ongoing tasks for two Ph.D. programs.
  • The job also requires strong communication skills, both written and oral.
  • Experience with Microsoft Office and Teams, SurveyMonkey, Canva, Doodle, and existing Emory systems is a plus.
  • The position offers a flexible workday schedule with up to 3 days per week of telecommuting after approval. Some overtime is required during peak times, such as the start of the fall semester and recruiting season.

MINIMUM QUALIFICATIONS:

  • A bachelor's degree and two years of experience working with academic programs or a related field, OR an equivalent combination of education, training, and experience.

NOTE: Position tasks are generally required to be performed in-person at an Emory University location.  Remote work from home day options may be granted at department discretion. Emory reserves the right to change remote work status with notice to employee.
