KEY RESPONSIBILITIES:
- Interviews students to assist them in coordinating their academic course of study to ensure satisfactory completion of coursework requirements for graduation.
- Provides career counseling and guidance in the scheduling of appropriate coursework.
- Responds to inquiries regarding admissions and program requirements.
- Provides input into the selection of candidates for admission and provides summarized analyses of application information.
- Serves as a liaison between faculty and students; advocates student issues and concerns with the appropriate faculty or staff.
- Designs, generates, administers and scores course examinations, grades tests, and forwards results to the appropriate area for academic processing.
- Provides direction, referral, and placement resources to students seeking employment opportunities in their respective field of study.
- May handle registration activities (course applications, fees, and materials) for various courses.
- May provide instruction in student computer laboratory.
- Maintains required record-keeping.
- Performs related responsibilities as required.
Position Summary:
The Education Program Coordinator will oversee and manage the daily operations of the educational programs in the Department of Behavioral, Social, and Health Education Sciences (Rollins School of Public Health), which is one of the nation’s top three public health programs. The Department currently has two graduate programs: a PhD program and MPH program. This role will ensure the academic and operational excellence of the academic programs, coordinate the programs’ strategic initiatives, and provide high-quality support to doctoral students, faculty, and staff. The ideal candidate will possess strong organizational, interpersonal, communication, and problem-solving skills, along with a commitment to fostering academic success and an inclusive learning environment.
Key Responsibilities:
- Program Coordination, Administration and support:
- Coordinate all administrative aspects of the doctoral program, including student onboarding, course scheduling, and program evaluations.
- Maintain and update doctoral program policies, handbooks, and guidelines in alignment with institutional and accreditation standards.
- Manage doctoral program budgets, track expenditures, and prepare financial reports in collaboration with the finance team.
- Serve as the primary point of contact for current and prospective doctoral students, providing information about admissions, academic policies, and program requirements.
- Oversee the administration of the doctoral program comprehensive exam process, including scheduling, communicating requirements, and ensuring all logistical details are managed effectively.
- Plan and coordinate the orientation program for new doctoral students, ensuring a welcoming and informative experience that promotes program integration.
- Track doctoral student progress, maintain academic records, and assist with the preparation of reports related to program performance and accreditation.
- Schedule and organize meetings for doctoral and master’s program faculty, staff, and committees, including preparation and distribution of agendas and minutes.
- Manage correspondence, maintain program calendars, and assist with event planning, including seminars, conferences, and graduation activities for doctoral and master’s programs.
- Prepare and process reimbursements, invoices, and purchasing requests in compliance with university policies.
- Support TA and adjunct instructor hiring processes
- Collect, analyze, and report data to support MPH curriculum development
- Support post-doctoral program faculty and administrators.
Student Support and Advising:
- Serve as the primary point of contact for current and prospective doctoral students, providing guidance on program requirements, registration, admissions, academic policies and academic milestones.
- Facilitate the doctoral program recruitment and admissions process, including application review coordination, interview logistics, and decision notifications.
- Track student doctoral student progress, maintain accurate records, and coordinate annual reviews and dissertation processes.
- Maintain inventory and order supplies as needed.
- Collaborate on the administrative needs of post-doctoral training programs.
Faculty and Curriculum Coordination:
- Assist faculty in designing and delivering high-quality, interdisciplinary curricula.
- Coordinate teaching assignments, guest lectures, and course evaluations.
- Support program directors in organizing faculty and committee meetings, retreats, and workshops.
Event Planning and Outreach:
- Plan and execute program events, including doctoral student defenses, orientations, professional development workshops, research symposia, and graduation ceremonies.
- Develop and manage communication strategies for promoting the program through newsletters, website updates, and social media.
- Cultivate relationships with alumni, external partners, and industry professionals to enhance networking and career development opportunities for students.
- Support planning and execution of MPH program events, including second year orientation, information sessions, and Peer to Peer Mentoring Program events.
- Schedule and organize meetings for MPH Program Committee, including preparation and distribution of agendas and minutes.
- Coordinate planning and execution of MPH program initiatives, including guest speaker thank you program and departmental teaching and student awards.
Data Management and Reporting:
- Collect, analyze, and report program metrics to inform decision-making and meet institutional and accreditation requirements.
MINIMUM QUALIFICATIONS:
- Bachelor's degree in education or a related field and five years of experience in academic student counseling or a related field, or equivalent combination of experience, education, and training.
PREFERRED QUALIFICATIONS:
- Bachelor’s degree in education, public health, or a related field. 5 years of experience in academic program administration or a similar role. OR Master’s degree in public health, education administration, or a related discipline.
- Experience working with doctoral or graduate-level programs.
- Familiarity with accreditation processes and academic policy development.
- Knowledge of trends and issues in public health education.
- Strong proficiency in Microsoft Office Suite, data management software, and virtual communication platforms.
- Survey programming and basic analysis skills.
- Exceptional organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Demonstrated ability to work independently and collaboratively in a fast-paced academic environment.
Work Environment:
The Education Program Coordinator will primarily work on-site at the Rollins School of Public Health, with occasional flexibility for remote work. Some evening and weekend work may be required to support events and deadlines.
