Reporting to the Director of Housing Occupancy and Assignments, the Assistant Director of Housing Occupancy and Assignments is an integral member of the Housing Occupancy and Assignments (HOA) team responsible for housing assignments for a 4,700-bed campus and maximizing occupancy while addressing student needs in designated residential areas. This position requires close collaboration with campus partners, including the Housing Operations team, Residence Life, and Sorority and Fraternity Life, to meet departmental goals and deliver exceptional service to students, parents, families, and the campus community.
KEY RESPONSIBILITIES:
- Oversees housing selection processes for designated residential populations such as upper-class students in apartment or theme housing communities.
- Efficiently manages student housing wait-lists.
- Develops and maintains comprehensive knowledge of housing database systems, including housing and billing processes, creation of applications and forms, and housing selection processes.
- Participates in the implementation of a new housing database system.
- Establishes strategic collaborations with campus partners, including College of Arts and Sciences, Admissions, Accessibility Services, Student Financial Services, Campus Dining, Athletics, and other departments.
- Prepares and maintains accurate occupancy records, reports, and procedures for university housing.
- Assists with student housing billing processes, including posting and auditing daily transactions.
- Utilizes housing software databases, Microsoft Excel, and data dashboards to create and analyze reports.
- Coordinates the early arrival and late stay processes in collaboration with campus partners.
- Maintains accurate records and assists with roster verification process.
- Responds to students, parents, and family's inquiries via phone, walk-in, or email. Works closely with Housing Operations Service Center staff to provide clear, consistent communication and resolve concerns.
- Supports Residence Life staff with room changes, early withdrawals, and move-in and move-out procedures.
- Oversees and co-manages departmental website content, print materials, and promotional programming to encourage on-campus housing.
- Plans and executes marketing events and campaigns for various housing processes, such as open houses, roommate matching events, and programming in partnership with resident assistants to enhance the housing selection process.
- Develops marketing campaigns for various housing processes.
- Delivers presentations promoting on-campus housing at university events, including in-person events at the Atlanta and Oxford campuses, and travels to Oxford College as needed.
- Participates in policy and process reviews, offering recommendations for improvements.
- Attends and participates in departmental and Campus Life meetings, trainings, and events.
- Stays informed of industry best practices and emerging technologies, recommending innovations related to enhance efficiency and service quality.
- May supervise student staff.
- Performs other related duties as required.
MINIMUM QUALIFICATIONS:
- A bachelor's degree and two years of customer service and related experience in a higher education setting, OR an equivalent combination of education, training, and experience.
- Experience managing campus housing assignments and working with university databases and software systems.
- High proficiency with Microsoft Office suite.
PREFERRED QUALIFICATIONS:
- A master's degree in higher education administration, college/student personnel, or a related field is preferred.
- Three years of experience in student housing administration with a strong understanding of student housing processes.
- Advanced knowledge of housing database applications and experience with implementing housing management software.
- Previous experience in marketing or developing print/digital media.
