Description

The Program Coordinator supports the administration of an academic program, primarily focused on student clinical placements and credentialing. This role is essential to ensuring compliance with accreditation requirements, supporting student progression, and facilitating communication among faculty, students, and external partners.

 

KEY RESPONSIBILITIES:

  • Performs or coordinates administrative activities associated with complex residency programs.
  • These programs generally involve over 20 residents, last more than three years, and involve at least five training sites.
  • Plays a significant role in preparing the program for accreditation site visits and compliance with accreditation standards.
  • Plans resident orientation and manages the rotation scheduling and evaluation systems within the program.
  • Maintains residents' academic files including rotations, evaluations, curriculum, and other critical documentation.
  • Assists in residency recruitment programs by updating relevant brochures and displays, updating and placing advertisements, coordinating recruitment trips, and preparing for and scheduling applicant interviews.
  • Assists in resolving foreign nationals' visa issues.
  • Maintains required record-keeping and databases pertaining to residency program(s).
  • Assists in preparing budgets and in tracking expenses.
  • Performs related responsibilities as required.

  • Credentialing and Compliance
    • Serve as the primary liaison between students and external clinical sites across the country.
    • Coordinate the full credentialing process to meet site-specific and accreditation requirements.
    • Maintain and manage multiple databases to track student placements and compliance documentation.
    • Monitor deadlines and ensure timely submission of required credentials.
  • Student Support and Guidance
    • Provide one-on-one guidance to students throughout the credentialing and placement process.
    • Assist students in interpreting and meeting site-specific onboarding requirements.
    • Respond to inquiries and provide administrative counseling on academic timelines and expectations.
  • Program Coordination and Operations
    • Organize and support key program events such as orientation, interviews, graduation, and white coat ceremonies.
    • Develop work plans, monitor program timelines, and ensure operational goals are met.
    • Collaborate with faculty and administrative colleagues to support student progression.
  • Collaboration and Communication
    • Act as the main point of contact with clinical partners, external stakeholders, and internal teams.
    • Represent the program in compliance and credentialing discussions with external organizations.
    • Maintain effective communication to support seamless coordination of student rotations.
  • Documentation and Reporting
    • Prepare and maintain detailed operational and statistical reports.
    • Ensure data accuracy across databases related to credentialing, site requirements, and student compliance.
    • Support institutional reporting and accreditation activities.
    • Performs related responsibilities as required.

MINIMUM QUALIFICATIONS:

  • A bachelor's degree and three years of related work experience, or an equivalent combination of experience, education and training.

PREFERRED QUALIFICATIONS:

  • Experience with academic program coordination or student services.
  • Familiarity with health professions education and clinical site credentialing.
  • Knowledge of credentialing platforms (e.g., myClinicalExchange, ACEMAPP, CastleBranch, CORE ELMS) is preferred but not required.
  • Strong organizational skills with attention to detail and the ability to manage multiple priorities.
  • Excellent interpersonal and communication skills.
