SUMMARY:
The Director, Volunteer & Arts Services is responsible for the recruitment, onboarding, scheduling, and management of Carter Center Volunteers. Acts as the curator and registrar for The Carter Center’s vast art collection. Interfaces with both internal and external stakeholders. Reports to the Chief Operating Officer.
JOB DESCRIPTION:
- The Director, Volunteer & Art Services is responsible for the recruitment, onboarding, scheduling, and management of Carter Center Volunteers.
- Acts as the curator and registrar for The Carter Center's vast art collection. Interfaces with both internal and external stakeholders.
- Reports to the Chief Operating Officer.
- Budget: Plans, administers, and monitors the volunteer and art department budgets by reviewing prior budget expenses and making projections for the next fiscal year based on projected needs.
- Ensures all timesheets, invoices, and expenses are tracked in the Center's accounting software - Unit 4.
- Communications: Maintains overall communications with staff, auxiliary, and other associated groups, all individual volunteers and docents, and volunteer and community organizations.
- Attends necessary related meetings pertaining to these groups.
- Publishes newsletters, fliers, invitations, and other communication materials as they pertain to volunteers.
- Handles and oversees requests about volunteer opportunities.
- Maintains communications with other professionals in the art field such as appraisers, conservators, and museum curators.
- Handles inquiries from donors and the public.
- Program Development: Develops a docent program for volunteers which includes preparing written instructional materials, recruiting instructors, teaching, and setting standing standards for satisfactory completion of training.
- Expands volunteer program needs to cover new volunteers and activities. Curates the Carter Center's art collection (currently 1,650 pieces, with new additions and removals over the year; historically 2,448 artworks have been managed, requiring detailed documentation on every piece's status).
- Oversees all aspects of registration, documentation, and collections management.
- This includes accessioning acquisitions, installation of art, condition reports, conservation, approved loans, insurance, and database management.
- Collaboration: Works in collaboration with the Jimmy Carter Presidential Library and Museum to support operations with Carter Center volunteers.
- Works with departments across the Center to ensure their offices are curated with art and to coordinate volunteer support for their daily and event-related activities.
- Works closely with the Events Services department.
- Record Keeping: Maintains accurate records of volunteer services provided to programs and departments for the Finance Department to comply with IRS and auditing requirements relative to contributions of in-kind services to non-profits (8,000 plus volunteer hours provided annually).
- Keeps and maintains a database of current and past volunteers.
- Maintains accurate records, electronic and paper, documenting the art holdings.
- Runs reports for appraisals, insurance, audit, inventory, and donative purposes.
- Recruitment Services: Develops and implements activities to recruit new volunteers.
- Conducts surveys of the need for volunteers and volunteer services, analyzes potential assignments, and develops positions descriptions for all assignments.
- Coordinates landscape volunteer group (meeting on the third Saturday of every month) to assist the landscape staff.
- Expands program to cover new volunteer needs as they arise.
- Tours & Speaking Engagements: Guides or assigns all tour groups scheduled for The Carter Center.
- Participates in extensive public speaking engagements. Represents the Center to a wide range of communities.
- Supervision: Manages part-time office assistant(s).
- Assesses the talent, skills, and preferences of volunteers and assigns them to the appropriate program or task.
- Supervises art interns and the volunteer corps, overseeing group of 90-130 volunteers annually.
- Resolves conflicts with volunteers and staff that may arise.
- Supervises vendors on property such as appraisers, art restoration technicians, etc.
- Volunteer Recognition: Develops and implements motivation and recognition programs to acknowledge volunteer contributions.
- Plans events and activities for the volunteer group.
- Special Events: Supervises weekend and weeknight volunteers at special events as needed.
- Policies & Procedures: Ensures compliance with all organizational policies and procedures.
- Coordinates efficient office procedures in support of program activities.
- Professional Development: Maintains professional growth and development of self and department by identifying educational/training programs, professional organizations, activities, and resources to maintain knowledge of national trends and to promote leading edge expertise.
- Performs related responsibilities as required.
MINIMUM QUALIFICATIONS:
- A bachelor's degree in art history, museum studies, or related liberal arts field and six years of related experience working in a volunteer organization OR an equivalent combination of education, training, and experience.
PREFERRED QUALIFICATIONS:
- Prior experience working with The Carter Center or a strong familiarity with its mission, programs, and values is highly desirable.
- Knowledge of art databases, CRM databases.
- Experience training volunteers.
- Experience managing and curating art collections, including familiarity with collection management software and best practices in art conservation and documentation.
- Strong organizational skills with proven ability to plan, implement, and evaluate special events.
- Excellent written and verbal communication skills.
NOTE: This role will be granted the opportunity to work from home regularly but must be able to commute to The Carter Center on a flexible weekly schedule based upon business needs. Schedule is based on agreed upon guidelines. All non-exempt employees must reside within the state of Georgia.
