Description

Responsible for the day-to-day management of reports of sexual misconduct. This is comprised of three areas: case management & compliance, filing, and investigations. Includes reviewing and monitoring reports of sexual misconduct in the case management system; routine maintenance and troubleshooting of the case management system; the routine handling of case files for students, faculty, and staff; and providing document support for investigations.

 

KEY RESPONSIBILITIES:

  •  Case Management & Compliance: Reviews and monitors ongoing cases in the case management system to ensure that each case is processed correctly and in a timely manner.
  • Assists with pulling data from and creating reports in the case management system.
  • Uploads hearing audio and/or Zoom recordings, appropriate documentation, and communications into the case management system.
  • Serves as technical support for DTIX's case management system.
  • Coordinates case management trainings & refreshers for DTIX staff as needed with the client manager.
  • Collaborates with Emory IT liaison and the case management system's client manager to troubleshoot issues and effectuate complex modifications to the system.
  • Facilitates routine system testing and updates to reporting analytics, templates, reports, forms, and picklists.
  • Reviews past reports and cases to ensure accuracy and completion of information.
  • Controls access to the case management system and departmental files.
  • Performs conduct checks for colleges and the Registrar. Adds sanctions into applicable cases and notes case completion when fulfilled.
  • Ensures that the following are in compliance according to FERPA, Clery, Title IX, and/or Emory University's document retention policy: files/cases during production, records maintenance/management, communications relative to cases, and other related responsibilities.
  • Produces case files for DTIX and Office of General Counsel (OGC) upon request.
  • Filing: Creates and updates internal filing protocols as needed.
  • Organizes folders and files and updates the DTIX staff of significant changes.
  • Assist the DTIX staff with filing questions Onboards new employees on filing protocols Investigations, Hearings, Mediations, and Appeals: Maintains contract investigators' access to their work product folders.
  • Uploads case material regularly into contract investigators' work product folders.
  • Serves as tech support before and during the hearings. For remote hearings, creates and manages breakout rooms, records the hearing via Zoom and on recorder.
  • Helps participants access the hearing when issues arise.
  • Creates and edits protocols and processes for investigations, hearings, and mediations as needed.
  • Maintains database of recorded hearings.

MINIMUM QUALIFICATIONS:

  • Bachelor's degree in a relevant area of specialization and two years of relevant professional experience KSAs Experience working with Microsoft Office products and utilizing databases.
  • Demonstrated ability to communicate effectively, verbally and in writing, with diverse students, faculty, staff, and community members, often in times of crisis and high emotional stress.
  • Demonstrated experience in roles requiring strong organizational skills and attention to detail.
  • Knowledge of or prior experience working with compliance related to government regulations that pertain to students, faculty, and university staff, including Title IX, FERPA, Clery, VAWA, and other regulations that will govern the work related to nondiscrimination reports, Title IX, and investigations.

PREFERRED QUALIFICATIONS:

  • Bachelor's degree in Paralegal Studies or Paralegal certification.
  • Demonstrated participation in programs designed to promote diversity, equity, and inclusion.
  • Prior experience with Advocate case management system or similar.
  • Experience providing consultation to university faculty, staff, and administration.

NOTE: This role will be granted the opportunity to work from home regularly but must be able to commute to Emory University on a flexible weekly schedule based upon business needs.  Schedule is based on agreed upon guidelines of department. This role requires residency in the state of GA. Emory reserves the right to change remote work status with notice to employee.
