Description

Assists in the daily duties of the Health Professions Readiness Education Program (HealthPREP) within the Outreach and Recruitment Team in the Office of Enrollment Management at Emory School of Medicine. Leads the administrative support duties related to HealthPREP, including planning, coordinating, and monitoring key program components during the three-week job timeline (6/22/2026 – 7/13/2026). Can represent the Outreach and Recruitment Team at HealthPREP seminars, workshops, and related events. Ensures required records and documentation are obtained and maintained. Performs related responsibilities as required.

 

This is a temporary, part-time position at $20/hour.

BASIC FUNCTION :

The Administrator Support personnel reports to the Assistant Director of Outreach and Recruitment Programs who manages the Health Professions Readiness Education Program (HealthPREP). The individual in the Administrator Support role will be responsible for administrative support duties for HealthPREP. The individual must be comfortable collaborating and communicating with supervisors, students, and overall staff in a positive manner.

 

DETAILED DESCRIPTION OF DUTIES: 

This work will be accomplished independently or in collaboration with Outreach and Recruitment Program colleagues as well as SOM and university colleagues. Specifically, the individual in the Administrator Support role for HealthPREP is responsible for the following areas: 

  • Assist stakeholders in planning and executing HealthPREP events and daily activities to enhance the overall effectiveness and efficiency of the program.
  • Assisting in set-up and break-down for in-person activities, including meals, scholar check-in and check-out, workshops, etc.
  • Representing Emory School of Medicine and the Outreach and Recruitment Team at HealthPREP virtual and in-person programs, and through verbal/written communication with all HealthPREP stakeholders. This includes assisting HealthPREP scholars in a timely fashion.
  • Work with stakeholders to schedule and coordinate workshops, seminars, and any HealthPREP-related activities (in-person or virtual programming).
  • Creating, managing, and updating HealthPREP’s educational platform with materials/resources for scholars, including Canvas and Slack.
  • Coordinating promotional material design process which may include creating content for reports, briefings, newsletters, grants or other written information related to HealthPREP.
  • Creates standard operating procedures (SOP’s). Identifies and leads efforts to address specific operational issues, including developing an action plan towards their resolution.
  • Assists with calendaring, communications, minutes, and action-item reminders. 
  • Serves as liaison to HealthPREP scholars, HealthPREP manager, and other HealthPREP staff, volunteers, etc.
  • Fills in for HealthPREP manager at events/functions if they are unavailable (sickness, travel, etc.), ensuring that HealthPREP programming smoothly continues in their absence.
  • This role requires travel for events and related research as needed. 
  • This role requires attendance at some weekend and evening events. 
  • Assist with other Outreach and Recruitment Team programs and initiatives. 
  • Supervising assigned project staff, interns and/or volunteers. 
  • Other duties as assigned. 

MINIMUM QUALIFICATIONS: 

  • Program/project management and/or office administration experience. Bachelor's degree in a field related to the program(s) and one year of related experience to student/administrative support, OR equivalent combination of experience, education, and training.
  • Effective organizational and communication skills, comfort with data management (Excel) and design software (Canva). A high level of professionalism. 
  • The candidate must be committed to working with inclusive programs, including those for students coming from first-generation college graduating and/or low-income backgrounds.

PREFERRED QUALIFICATIONS SKILLS AND ABILITIES :

  • Strong organizational skills 
  • Ability to function independently and manage multiple tasks simultaneously 
  • Demonstrated ability creating content for and working with different learner populations (ex. undergraduate and post-baccalaureate) 
  • Excellent written/oral communication 
  • Ability to take and apply constructive feedback  
  • Preferred computer skills: Website/learning management software editing experience (Cascade/Canvas) 
  • Availability and flexibility for occasional evening events, as needed

Be available during business hours from Monday-Friday for in-person or virtual administrative support as needed during the duration of the in-person HealthPREP (June 27th - July 11th, 2026). Some evening and/or weekend work may be required (ex. June 27th and July 11th). Successful candidates must be willing and able to provide their own transportation to Emory University Clifton Road Campus when needed for in-person events. Use of personal vehicle will be required for transporting supplies. This position will require being able to carry/lift weight up to 10 pounds.

 

NOTE: Position tasks are generally required to be performed in-person at an Emory University location.  Remote work from home day options may be granted at department discretion. Emory reserves the right to change remote work status with notice to employee.
