Description

The Physical Security Systems Analyst is responsible for the daily operational administration of Emory University's enterprise electronic access control environment. 

  • Administers provisioning, credential lifecycle maintenance, system monitoring, and reporting within a large-scale, enterprise Access Control System deployment covering both the Atlanta and Oxford campuses of Emory University.
  • The central function of this role is authorization validation.
  • Every provisioning request requires the analyst to confirm the request has been submitted through the appropriate approval chain for that space, route requests to the correct building contact or space owner when necessary, and apply judgment in cases where space ownership is distributed or informal.
  •  

KEY RESPONSIBILITIES:

  • System Monitoring and Configuration: Monitors the Access Control System status tree daily to identify offline panels, initiating remediation or escalating to appropriate technical staff.
  • Maintains the access control calendar, creating and modifying time zones in response to building schedule changes. Creates and modifies access levels as operational need requires.
  • Access Provisioning, Approval Routing, and Authorization Validation: Identifies the actual approval authority for each space -- building, department, or individual owner -- and obtains that approval before provisioning access.
  • Builds and maintains a documented reference of approval authority across the university's distributed space-ownership structure, converting informal knowledge into a standing operational framework.
  • Assigns access levels to cardholders on a continuous daily basis in accordance with that framework.
  • Applies judgment for spaces without a single designated owner, using the requestor's apparent standing and relationship to the space as an interim standard while ownership is confirmed and documented.
  • Identifies and routes self-service requests to an appropriate supervisor for approval before provisioning.
  • Reviews incoming ticketing system requests for facility accuracy.
  • Identifies and cancels requests for facilities not present in the access control system.
  • Cardholder and Credential Lifecycle Maintenance: Creates cardholder records manually for populations outside standard Emory identity feeds.
  • Modifies cardholder records in response to work orders.
  • Configures expiration-based deactivation for cardholder populations not governed by Emory Shared Data.
  • Removes access levels immediately upon report of a lost or stolen card or a cardholder presenting a threat. Troubleshooting and Diagnostic Triage: Triages card and door issues, diagnosing whether the root cause is a credential or card technology issue, a system or hardware fault, a rights-and-authority issue (incorrect or incomplete provisioning), or user error, and directs each to the correct resolution path.
  • Determines and documents the appropriate path to resolution regardless of how or where the request originated, ensuring all labor is accounted for.
  • Coordinates with the Card Office to identify and resolve sponsored cardholder records in inactive or expired status.
  • Monitors open work orders for urgency, proactively flagging and communicating time-sensitive issues to relevant staff. Identifies and communicates recurring system discrepancies to PSS staff; resolves card number conflicts by coordinating credential reissuance with the appropriate partner office.
  • Audit and Reporting Support: Produces recurring monthly card activity and cardholder access reports for departments with safety, compliance, or security oversight requirements.
  • Produces ad hoc reports in response to requests from Emory Police, Human Resources, Title IX, and administrators in support of investigations and space management decisions.
  • Processes access level, time zone, or cardholder modifications identified through report review.
  • Performs other related duties as required. 

    MINIMUM QUALIFICATIONS:
  • A high school diploma or equivalent and five years of experience in access control administration, physical security systems, identity and access management, or a closely related field is required, OR a bachelor's degree and three years of relevant experience.
  •  Demonstrated experience administering an enterprise access control platform (Lenel OnGuard, Software House, Genetec, or comparable) at operational scale, and experience processing access requests requiring authorization judgment rather than purely transactional input.
  • The role requires the ability to manage high daily provisioning volume while maintaining accuracy and consistent application of approval requirements, along with written communication skills sufficient to produce clear reports, document system discrepancies, and communicate effectively with department contacts and PSS staff.
