    JOB DESCRIPTION: ** For use by Emory Temporary Services only** Manages a project. Coordinates the strategic planning process and monitors progress toward achieving project goals. Assists in developing, administering and monitoring project related budgets. Coordinates logistical arrangements for related conferences, conventions or meetings. May assist in identifying funding resources and in developing funding strategies and initiatives. Develops and generates various operational and statistical reports. Represents and promotes the project at various speaking engagements. May write grants, reports, briefings, newsletters, promotional or other written material related to the project. Performs related responsibilities as required.

    MINIMUM QUALIFICATIONS: A bachelor's degree in a related field and three years of related project management experience, or an equivalent combination of experience, education and training.

     

    PREFERRED QUALIFICATIONS:

    • Bachelor’s degree with international logistics meeting experience, including basic budget tracking,
    • processing of travel advances and reimbursements
    • Experience with government funded projects, with international NGO’s, and project management
    • Positive attitude and outstanding customer service
    • Able to work as part of a team and independently to meet deadlines
    • Able to prioritize tasks to meet required deadlines and ask questions when necessary
    • Able to follow established business processes and templates to ensure efficient completion of work
    • Excellent English writing and verbal communication skills; high attention to detail and quality
    • Proficiency in Spanish, both written and spoken
    • Strong interpersonal and intercultural skills
    • Proficiency in MS Office programs, MS Outlook and Gmail

    Additonal Details

    *This is a Non-Exempt position. Employees in this position are paid an hourly pay rate, on a bi-weekly
    basis, and are eligible to receive overtime pay for any hours worked over 40 in a work week.

    PRIMARY RESPONSIBILITIES:

    • Project Management/Oversight:
    • Recruiting key consultants for projects and drafting project contracts
    • Tracking the budget, activities, and timelines for several projects at a time
    • Monitoring and reporting on consultant and project progress
    • Meeting with donors/project partners to discuss project activities
    • Logistical Conference and Meeting Support (as requested):
    • Supports national and international logistics for meetings and conferences which includes:
    • Calculating per diem rates for meeting participants
    • Updating and maintaining accurate logistical budgets
    • Coordinating international and domestic flight reservations for meeting participants
    • Tracking attendee payment requests for travel advances and reimbursements
    • Communicates with attendees on conference related logistics and accounting
    • Administrative Support:
    • Compiles, reviews and reconciles receipts and required supporting documentation for
    • travelers and processes travel advances as necessary
    • Reconciles assigned logistical budgets with accounting entries
    • Reviews, edits, and submits professional correspondence documents, emails and reports, as
    • requested
    • Organizes RSVP’S for meetings and conference calls and takes meeting minutes as required

    • Helps compile and print meeting materials for professional meetings – to include editing final
    • documents, collecting and organizing documents to for the meeting packets
    • Participate in TEPHINET team meetings

    Other:
    Participates fully as a member of the Task Force for Global Health by contributing, assisting
    and participating in projects, activities, and initiatives as requested by management.
